Welcome to Healthcare at The Grove, we look forward to having you as the newest member of the grove community. We wanted to give you a few pointers on how to use your new portal. The portal is a very useful tool that can easily connect you to your provider and your healthcare information. Please take a moment to familiarize yourself with the options.
The portal is an easy way to see when you are due for your next appointment as suggested follow up schedules will be on the main screen. You can pay your bill online, access immunization records, as well as review prior visits. If you cannot remember something that was discussed at an office visit, please see “care summaries” under the my health tab. This will show notes, information on scripts, as well as referral information.
Why Use the Patient Portal?
Check in Process – another important difference at Healthcare at the Grove is the paperless check in system. Appointment times are even quicker now with our new “pre visit assessment” system. Before your visit you will receive a text to complete your pre visit check in. Please make sure your date of birth, email, mobile number, and address are loaded in your portal to ensure it works properly! Now you can seamlessly update your healthcare information, insurance, pharmacy, update your medication and health history all right from your phone! It is VITAL that this be completed in its entirety at each visit, although it may take you 10-15 minutes to complete the first time, after that it will be a few short clicks verifying your information. This is BY FAR the most important thing you can do to ensure you have more time with the provider and less time filling out paperwork. Our goal is to give you all of our time and attention by spending less time doing paperwork!
Scheduling – The online scheduler is a great tool to see us quickly! We recommend adding our webpage to your home screen so that we are always just a short click away. Also if you have the Cypress Waters app you will be able to quickly gain access to our site.
Cases – Although it is always best to see the provider via our telehealth system or in person, we understand there are times where questions come up that require addressing between visits. We recommend that you send a patient case through the portal, as this is the quickest way to reach a provider. Although the providers are in the clinic seeing their patients; the nurses can help to triage and answer any questions. We please ask that you allow 24-48 hours for a reply; this is not an avenue for emergencies and in the case of an emergency please dial 911. We also ask that you please do not send multiple messages as this will delay the process of working through the cases.
Education materials – Another feature under my health is the “learning activities” tab. This will house important recommendations and education the provider has recommended for you.
Transfer of records – You will be asked to fill out a release of information at your first visit. We are happy to go retrieve your records for you, however legally this can take time and potentially delay the process. If you have access to an Athena portal from a different practice, there is a way you can easily send them yourself through the portal and we have put together steps below to help you do this.
Steps to using the Patient Portal
1) Log into your portal and please click on the tab on the left that says “My Health”.
2) Click on the tab at the top that says “Health Records”.
3) Select “Send via Email” and please insert email@example.com in both sections (this email is not for patient cases or concerns please do not use this for communication as it is not monitored like the portal cases are. Thank you for your understanding.
4) For period clinic “All Time” and then “Consolidated Clinical Sumary” then hit send.
